Season’s Greetings!

As you gather with family to celebrate Christmas, Hanukkah or the New Year, you have the opportunity to share with them what’s happening at Kiahuna Plantation from May 9th through the 14th in 2017.  It’s the first ever Kiahuna Owners ‘Ohana Reunion!  

We’re hoping every owner who can come, will come, and bring others in their family (including friends, previous owners, anyone who might enjoy Kiahuna).  So, YOU are invited.  Your family is invited.  And anyone else you want to bring is INVITED.

This event is being organized by owners regardless of phase or rental company.  We want the owner community to reconnect with the magic and joy of Kauai and our little piece of it at Kiahuna.  You’ll see many events are either on the grounds or at nearby cultural spots.  

If you haven’t been to Kiahuna in a while when other owners are here, why should you come in May?
  • The boards and committees are working hard to protect and enhance the property – come and learn about infrastructure investments, cost management, and ways your rental company is working to improve owner return and guest experience.  Meetings are between May 4th and 8th.
  • Learn how other owners are improving their units and managing profitable rentals.
  • Bring family and share activities you’ve loved since the first time you came to Kauai.
  • Take special tours that focus on the culture and history – organized specifically for us!
While not every family can come (school is still in session in May), those who can come will benefit from the feeling of  Kiahuna ’ohana.  Perhaps your family has a wedding, anniversary, or birthday to celebrate.  May 14th is Mother’s Day, so you can arrange a very special event for the moms in your life.

Private Allerton Garden tour

Hi Kiahuna ‘Ohana!

I have confirmed a private Kiahuna owner tour of the Allerton Gardens that includes a lovely dinner on the lanai outside the Allerton house.  If you and your family would like to attend please send your payment to me as soon as you can (I’ve paid a 50% deposit to hold the date).  The venue has a maximum of 37 people, so it’s first come, first served.  If we have overwhelming interest, I’ll look into reserving a second date.

FAQ (Frequently Asked Questions) - Allerton Gardens Tour/Dinner
  1. Is there a limit to how many tickets I can purchase?  No, as long as we have space.  Contact me if you want to confirm we have space.
  2. Why do I have to buy my seats now?  In order to book the date, Allerton Gardens required a 50% deposit.  I’ve paid the deposit and want to make sure I’m reimbursed! 
  3. Can we add more tours if the event sells out?   If we have significantly more interest than the 37 maximum, I will look into booking a second night.  This depends on availability of the venue, so the sooner we know, the more likely I can book it.
  4. What if I need to cancel my seats for any reason?  I can’t guarantee it, but I expect there will be people who want to attend after the event sells out.  If you have to cancel we’ll do everything we can to find someone else to buy the tickets from you directly.
  5. Can I add more family members to the tour later?  Depending on availability, yes! No problem if we have open seats. If we have enough for two tours, there may be a few extra seats in each to add people.  
  6. What if someone in my party can’t walk well or needs assistance?  Allerton has volunteers who can drive (golf cart) people who have accessibility issues.  Some parts of the garden will not be viewable.   We need advance notice of accessibility needs and can confirm near the tour date.
  7. What’s on the menu?  The menu will be finalized closer to the event, and will be buffet style.  Tropical non-alcoholic drinks are included.

Great news regarding the proposed dairy farm

Major Victory For Kauai Dairy Farm Opposition
On our Friday evening news Bridget Hammerquist, President of the Friends of Mahaulepu, was almost in tears as she announced their victorious decision in court against the Hawaii Dairy Farms.   Hammerquist, along with hundreds of others, have been vehemently opposed to Hawaii Dairy Farms plans to have a Dairy 2.5 miles away from the Hyatt in Poipu Beach.  Friday’s decision by Judge Leslie Kobayashi’s decision didn’t help the Dairy’s cause any.
Judge Kobayashi of the federal district court of Hawaii found that the Hawaii Dairy Farms began construction at the site of their proposed diary without obtaining the necessary permits.  HDF (Hawaii Dairy Farms) began construction without securing the correct NPDES (National Pollutant Discharge Elimination System) permits the court found.  HDF submitted a Notice of Intent to the state’s Department of Health on Sept. 9, 2014, indicating its plan to operate under a NPDES permit, according to the Thursday decision, however DOH (Department of Health) did not approve the permit. HDF reapplied on May 7, 2015 and the application is still pending, according to the decision.  “Defendants engaged in activities pre and post-complaint that required an NPDES permit,” the decision states.
There are high levels of bacteria in the ocean off of Mahaulepu Beach and the Friends of Mahaulepu have filed a lawsuit against the Dairy naming their activities as being the source of the high bacteria levels. That trial date is set for February of 2017.

Outrigger news

You may have heard that Outrigger's founding family has decided to sell their interest.  The news was announced yesterday.  The change is not expected to have any effect on the daily operations and administration of the Association. (The Association is managed by Hawaii Vacation Condos by Outrigger.)

Beach hut and shower remodeling

Dear Owners in Buildings 28 and 30, 

Please be advised that we will be relocating the 
beach shower closer to the Beach Hut. We will be
 removing and replacing the sidewalk fronting the 
Beach Hut. In addition, we will be removing the
 stepping stones from Building 30 to the Beach Hut. 
The stones will be replaced with a sidewalk.

The Beach Hut will be operating from a tent in the
 interim.

Kiahuna honors local culture

Dear Kiahuna Homeowners,

Kiahuna homeowners and staff once again are honoring the commitment of local heroes dedicated to preserving Hawaiian culture and sharing it with all those who visit this beautiful island. 

The recipient of this year’s fundraiser will be Hapa Trail http://www.hapatrail.com providing our southern Kauai shore with important historical trails. 

At the Nov. 12, 2016 homeowner’s meeting we will have a silent auction of local photography, quilts and would be pleased to add any other items you wish to donate. Your attendance is always appreciated but, in case you are not able to be there you may also donate money directly to the cause.

Summary of meeting highlights

At the recent AOBO meeting two weeks ago, many important topics were discussed.  I want to give you a brief summary until you receive the formal newsletter from Marianne.  Thanks to all the owners who came to the lunch and meeting in San Francisco.  We appreciate your interest and the time you spend towards the AOBO and Kiahuna Plantation.

Dean Berlon (Buildings and Grounds chair) and Chris Gampon presented a thorough update on their ongoing and upcoming projects.

Hybrid Water heaters are projected for installation within the next 12-18 months.  It has been determined that fewer heaters will be needed than originally planned.  The upside to that news is that the project cost should go down and there should be more closets available for owner use.  Dennis Bonilla is going to start to schedule the water heater installations in a way that will impact owners and guests as little as possible. We are hoping to start installations in May 2017.  You can expect to hear from him regarding projected dates for building closures which may last between 3-7 days.

Room inspections:
Did you know that the AOBO has been inspecting units for the presence of moisture?  Thus far, 200 units have been inspected.  These inspections and repairs have been very helpful in being proactive in dealing with leaks and in standardizing the plumbing infrastructure of units at Kiahuna.

The remaining 100 units will be scheduled for inspections as soon as possible. You should have received a copy of the report from the results of your unit's inspection, if it has been done.

Beach shower/Pathway:
Plans are underway to relocate the beach shower and pathway to make them safer and more attractive.  Beach erosion has been threatening the area around the shower.  The shower will be moved to an area between the beach hut and the beach, on the west side of the pathway.  The pathway will also be modified and new plants installed.

Renovations at Kiahuna:
Guidelines regarding renovations and repairs are in the process of being revised and updated by Dennis and Chris.  We will publish those once they have been finalized.  We are trying to establish uniformity and better organization surrounding renovations.

Baseyard:
Buildings and Grounds is waiting to receive a new schematic plan from the architect before going forward with the specific plans for the baseyard renovation. 



The Legal Committee discussed that there is now only one unit that has been delinquent in payment of their fees.  Two other units have recently been foreclosed upon by the lenders and new owners are now in place.  

The Landlease Committee is starting to gear up for the landlease renegotiation for Phases IIIa and IV which will be up for renewal in 2018.  We are looking at hiring appraisers to prepare a report based on an updated valuation of the property.

The Finance Committee reported that there were many positive budget variances, which means that we had to spend less money than anticipated.  The Reserve Fund balance has also been greatly increased by the $400,000 contribution from HVAC by virtue of the terms of the new management contract.  A strong reserve fund is essential as we will be incurring substantial costs in upgrading the infrastructure



A more detailed report on the meeting will be coming shortly from Marianne Thesken.  The survey results will come with the newsletter but we want to thank everyone who took the time to respond and offer valuable comments!  The Board is committed to trying to help rental performance to the extent permissible.

Update on water heaters

I wanted everyone to be sure to be aware that after the recent vote by the owners and the overwhelming support, the characterization of hot water heaters has changed.

All the water heaters on the property (not including Phase I) are now common elements.  They are no longer the individual owners' responsibility.

The idea is that the AOBO is going to replace them all with hybrid water heaters within the next 18 months.

Therefore, if your water heater breaks or has problems, call Outrigger.  Do not call Castle Resorts!  You do not have to pay to fix it or replace it.

If your hot water fails between now and the time you get a new hybrid water heater, there are gently used hot water heaters which can be installed until the new hybrids are put in.  I know this from personal experience!! My hot water heater just broke last week and Dennis Bonilla has one to replace mine with.  I don't have to buy one nor do I have to pay to replace it!  When we did the test hybrid water heaters, we kept the "old" ones!!  Some of them weren't so old!

This is just a reminder!! And it's a small way to save someone a little bit of money if you have a problem hot water heater!

BUILDING & GROUNDS REPORT

 May 13, 2016 

HYBRID WATER HEATERS 
The Vote to amend the AOBO Declaration to make water heaters Common Elements successfully passed. Approval was needed from 67% (208) of the Units. In favor of the Hybrids = 218, Opposed to the Hybrids = 9, Units that didn’t vote = 81. The Vote to approve a loan (in case we needed financing) also passed. Approval was needed from 50% (156) of the Units to borrow money. In favor of the Loan = 213, Opposed to the Loan = 14. The Board accepted the results of the Vote and will obtain Fee Holder Consent and amend the AOBO Declaration. 

Dennis Bonilla has started working on bulk pricing for the new hybrid water heaters and will look at building rental schedules to start blocking out dates for work to start. Work is estimated to take 3-7 days per building depending on the building size. The units will need to be unoccupied, so work will need to be scheduled in advance to avoid impacting existing reservations. We are estimating that work would begin in 9-12 months, although we’ll strive to start as soon as possible. As soon as dates are planned out, the AOBO will notify Owners when to expect their Units to be out of service.

 IRRIGATION SYSTEM 
In November we decided to take a look at Kiahuna’s irrigation system to see if we could make it more efficient. We spend over $300K on water every year (which includes the buildings and the irrigation system) so were hoping there would be an opportunity to save on water if we can use the irrigation system in a smarter way and with newer technology. Richard Arruda, our Grounds Manager, has been systematically going through the existing irrigation system to repair leaks and replace sprinklers with more efficient sprayers. He’s been able to get through four building areas so far (around buildings 40, 41, 42 and 15) and the results have been pretty dramatic. So far we have seen a decrease in the amount of water we are using by up to 50%. Richard and his crew will continue to work through the rest of the property this year. He is also looking into electronic timers that would be tied into the local weather station to avoid watering when it has recently rained.

 BEACH SHOWER/PATHWAY AND BEACH HUT PAVING
 Given future beach erosion, the committee decided to relocate the beach shower because a large swell could eventually undermine it. We had a landscape architect study possible locations and his recommendation was to move it back approximately 20’ and incorporate it into landscaping on the west side of the walkway. By moving the shower we can also opening up more of the view of the ocean from the lawn. At the same time we are also going to improve the area around beach hut. We want to get rid of the pavers and deteriorated concrete to make that area look better. We will also re-grade the pathway to the beach, so it slopes more gently to the ocean. Dennis is working on estimates so we can figure out when we can fit it into the budget.

 SAFETY RAILING AT BUILDINGS 41/42 
There is a drainage culvert between buildings 41 and 42. A recent insurance audit identified that area as a falling hazard for guests and employees. The mauka side (mountain side) of the drain posed a more serious problem and was attended to last year with a railing. The makai side (ocean side) is still exposed and the Committee recommended that a similar railing be installed. The rail will have a green finish to blend it in with the surrounding landscape.

 GUIDELINES FOR RENOVATION 
Chris Gampon and Dennis have been working on a consolidated checklist for renovations. Currently the guidelines are scattered throughout our House Rules so this should help make it easier for Owners when they renovate their units. The list will include the process for notifying Management about a project, how and when you need a permit, hours that construction is allowed and rules for contractors while they are working on property. We should have that ready by the end of May and it will be sent to Owners and posted on the AOBO website as well as the blog.. 

TREES AT KIAHUNA
 In November, Management hired a new Arborist to maintain the trees on property. That company has been going through the grounds and systematically pruning trees for safety concerns and aesthetic appeal. We are already beginning to see great results. The Arborist recommended removal of a few trees for safety concerns so that will be happening over the next couple months. They have also been compiling information on the major trees so we’ll have a comprehensive history of maintenance going forward. A copy of the report will be posted on the AOBO website.

Board election

We had a large turnout at our annual meeting on Monday so there were enough people to have our election. 

First,  we sadly said goodbye and thank you to Alan Hart for six years of great devotion and hard work. Alan's efforts were felt by everyone !!
